Create and Updating Work Patterns

This article explains how an administrator can create and manage system work patterns via the global settings.

To create a new work pattern, follow these steps.

Step 1.

Go to the global settings area.

Click into the 'Calendar and Planner' section.

Once in the 'Calendar and Planner' section, select 'Working Hours' from the left hand menu.

Once in this screen, you will see a list of the existing system work patterns as well as who they are allocated to. You will also see the option to 'Add' in the top right corner to commence creating a new work pattern,

Once you click 'Add' you will be presented with this screen where you can complete the initial details of the work pattern name, description and contracted hours as well as if it is 'In use' or not before proceeding to complete the rest of the information.

Step 6.

Before clicking 'Save', to add the details of the days and hours to the work pattern click 'Add' next to 'Work Pattern' above the 'Save' option.

Once you click this option you will be presented with this screen.

You will see two options at the top of the screen for 'Daily Hours' and 'Daily Times'. You will always default to the 'Daily Hours' option first and this is the option that all work patterns require as a minimum.

Step 7.

Daily Hours :

Full/half day - Specify in the first column if this is a full working day or a half day.

Hours per day - Specify how many hours this working day is.

Step 8 (Optional).

Daily Times : You only need to complete this section if employees using this work pattern will be clocking in and out. This will then allow the option to compare actual hours worked vs contracted hours, early/late clock in and outs.

For anyone not clocking their timesheets, you only need to complete 'Daily Hours'

Deduct break times from contracted hours - This will automatically deduct the amount entered in the 'break time' field for each day from the total contracted hours.

Start time - The start time of the shift.

End time - The end time of the shift.

Break time - How long the break in the shift will be.

Duplicate week - To create a second week with copied details of this week.

+ Add week - To create another week for this work pattern.

Step 9.

Once you have completed both of these sections, click back in the top left to return to the first screen.

Step 10.

Now that you have returned to the original screen, the final thing to do is to save the work pattern in it's entirety.

Once saved, you will be returned to the main settings menu where you can view this new work pattern in the list of all work patterns.

If you wish to revisit a work pattern to edit it, click the work pattern in the list, and then once the information screen is open, select the 'Edit' icon to open the details of hours and times to be amended.

*Note*

You will not be able to edit or delete a work pattern that has employees currently assigned to it.
