Introduction
Keeping accurate time records is essential for payroll, compliance, and overall workforce visibility. This workflow helps by notifying both the employee and their manager whenever a clock in or out entry is missed.
By flagging these gaps as they happen, it enables quick resolution, reduces manual follow-up, and ensures time data stays clean and reliable—without slipping through the cracks.
How it works
Late clock ins - This workflow runs daily at 5 am to identify all employees scheduled to work that day, based on their assigned work patterns and any booked time off. For each relevant employee, the system waits until five minutes after their scheduled start time, then checks for a clock-in entry. If none is found, both the employee and their manager are notified by email.
Missed clock outs - A similar process is used for clocking out. Five minutes after an employee’s scheduled end time, the system checks whether they’ve clocked out within the past hour. If no entry is found, the employee receives a reminder email to clock out. This one-hour window helps avoid false alerts for those who clock out temporarily during the day, such as for lunch breaks.
