This article provides blank templates and how to correctly complete the employee data sheets for data migration.

Please DO NOT return completed data sheets over email.

Once you have finished filling out your data sheets, please reach out to your project manager, who will provide you with a Secure File Transfer Link for uploading your files.

General Rules and Tips

Any columns highlighted in RED are mandatory columns that cannot be blank

Any columns highlighted in GREEN are optional columns and can be left blank

All dates entered must be in the DD/MM/YYYY format

Core Employee Data Sheet

Field Name

Description

Employee ID -

Unique identifier for each employee, can contain letters and numbers, e.g., Payroll ID or name/initials + number.

Contract Type -

Type of employment (e.g., full time permanent, part time permanent, temporary, contractor, fixed term, etc.).

Sub Company -

Required for group entities, enter individual business name if applicable, otherwise, use 'Company' field.

Events Data Sheet

Field Name

Description

Event Type -

Type of event (e.g., Holiday, Sickness, Maternity, Paternity, Study, Appointment, Training, etc.).

Event Duration Type -

Duration unit (Hours or Days) for the event.

Event Status -

Status of the event (Approved, Declined, or Pending).

Event Entitlement Data Sheet

Field Name

Description

Event Year Start Date -

Start date of the year for entitlement renewal (e.g., 01/01/2023 for January - December holiday year).

Event Year End Date -

End date of the year for entitlement renewal (e.g., 31/12/2023 for January - December holiday year).

Event Type -

Type of event for the entitlement (e.g., Holiday, Birthday Day, Study Days, Training Days, etc.).

Measured In -

Measurement unit for entitlement (Days or Hours).

Work Patterns Data Sheet

Field Name

Description

Week Number -

Week number within a rotating work pattern for data alignment (e.g., 1, 2, 3, etc.).

Work Pattern Effective - Date

The exact date when the employee was first assigned to this work pattern.

Break Times (minutes) -

Total break time in minutes for each day in the work pattern (e.g., 30 for a 30-minute break).

Night Shift -

For employee's who work a night shift that crosses over multiple days, enter the start time and end time of the shift IGNORING the day displayed in the label at the top.

For example, a night shift from Monday - Tuesday, you would enter the start and end times in the 'Monday Start Time' and 'Monday End Time' columns respectively.

Leavers Data Sheet

Field Name

Description

Final Day of Employment -

The last day the employee was officially employed with the company, even if they took leave.

Resignation Date -

The date when the employee raised their resignation to the business.

Reason for Leaving -

The reason for leaving (e.g., Resigned, Terminated, Retired, Sabbatical, or another captured reason).

Public Holidays Data Sheet

Field Name

Description

Public Holiday Name -

Given name of the public holiday for a particular date (e.g., New Year's Day, Good Friday, St. Andrews, etc.).

Public Holiday Date -

The date in the year when this public holiday takes place.

Public Holiday Duration - (Days)

Specifies if the public holiday is a full day (1) or less (0.5 for half days).

Pay Data Sheet

Field Name

Description

Pay Effective Date -

This is the date that the new pay/salary was put into effect.

Rate -

This is the amount type, e.g. Yearly/Salaried, Hourly etc.

Pay Period -

This is the frequency at which the person is paid.

Change Log Sheet

Sheet Name

Description

New Starters -

Use the corresponding columns, provide the details for any NEW STARTERS that have joined the business since the initial data load

Leavers -

Use the corresponding columns, provide the details for any LEAVERS that have left the business since the initial data load

Contact Details -

Use the corresponding columns, provide the details for any changes to employee CONACT DETAILS that have occurred since the initial data load

Employment Details -

Use the corresponding columns, provide the details for any changes to EMPLOYMENT DETAILS that have occurred since the initial data load. Any MANDATORY columns where there has been no change, enter N/A

Emergency Contacts -

Use the corresponding columns, provide the details for any changes to EMERGENCY CONTACT DETAILS that have occurred since the initial data load. Any MANDATORY columns where there has been no change, enter N/A

Bank Details -

Use the corresponding columns, provide the details for any changes to BANK DETAILS that have occurred since the initial data load. Any MANDATORY columns where there has been no change, enter N/A

Pay -

Use the corresponding columns, provide the details for any changes to PAY details that have occurred since the initial data load. Any MANDATORY columns where there has been no change, enter N/A

Events -

Use the corresponding columns, provide the details for any EVENTS that have occurred since the initial data load. Any MANDATORY columns where there has been no change, enter N/A
