How to process a leaver

This article explains how to mark an employee as a leaver and also, how to access the leavers section to view leaver records.

Follow these steps to mark an employee as a leaver.

1. Click into the People list area (A) and click on the employee name who you wish to update (B).

2. Once in the employee profile, click the 3-dot menu in the top right hand corner. Once the dropdown menu appears, select 'Mark as Leaver'

3. Once you select 'Mark as leaver' you will be presented with the following screen to complete their leaving details.

Last Day of Employment : This is the last day that the employment contract is valid until.

Last Working Date : The last day the employee will be at work (if holiday or garden leave is in effect).

Reason for Leaving : Choose from the dropdown to identify the nature of this leaver (Resigned, Retired, Redundant, Terminated).

Would You Rehire? : This is for internal records to save time if this person is ever to reapply to work at your company.

Comments : Use this area to record any required notes such as what has come out of their exit interview.

Remove System Access : Choose whether to set their system access to automatically terminate on their last employment date or you can set it to revoke immediately (in a scenario where the employee can no longer be permitted access to systems)

4. Once the employee has been marked as a leaver, you can view their records by filtering the 'People' list to leavers.

5. Once you click into a leaver record in the 'Leavers list' you will see an additional area appear in the profile for 'Leaver Details'

6. Click on this tab to open their leaver details that were recorded when they were initially processed.
