Leaver Process

This article explains the standard workflow process that takes place in SenseHR when marking someone as a leaver including the pro rata entitlement calculation

After marking an employee as a leaver, the leaver workflow will notify the Administrators in the system via email and a To-Do task.

Below is a screenshot of the email that will be sent. The email will include:

  • Leaver's name

  • Last day of employment

  • Reason for leaving

  • Calculation of the leaver's pro-rata entitlement.

Note: So that the system can correctly calculate the entitlement, please ensure the main system settings are updated to your correct full time entitlement in both days and hours:

To find these settings:

  • Go to the main settings

  • Select Calendar and Planner

  • These settings are within the General tab

If you wish to use the figure for the pro-rata entitlement, please update the Leavers entitlement within the planner to match this, once you've updated the entitlement, you can see the remaining leaver entitlement.

Administrators can manually amend the entitlement from the leavers planner by clicking the 'Edit' icon next to the entitlement:

The system will also generate and assign the Offboarding Checklist To Do to the administrators:

2. To view all the subtasks, select the arrow on the To Do:

3. You can then mark each of the subtasks as 'in progress' or completed using the three dots on the right side:

Once you start to complete the tasks, you will see the overall progression bar at the top start to move.

As an administrator you will always be able to track and view the status of all leaver process tasks via the 'To Do's' section under 'All To Do's'.
