To lock a day for a selected group of employees via the company calendar, follow these steps.
Step 1 - Go to the company calendar and select the 'Book' option to open a new event booking.
Step 2 - When you click 'Book' you will have a dropdown field to select the event type. Select the event 'Locked Day'.
Then select 'Add'.
Step 3 - Once you have selected 'Locked Day' you will see the following form open where you can use the filters to select who you want to apply the locked day to.
Step 4 - Populate the first half of the form as follows.
a. Type in the 'Reason for locked day' field, the message you want the locked event to display as in the calendar when it is assigned to employees.
b. In the 'Assign to' field, select the employees you want to include for 'Locking' the day. This can be a combination of filters including names, job information (e.g. job titles, departments etc.), employment details (e.g. employment type) and user type (e.g. managers).
c. Exclude people - Use this field if there are specific individuals in the 'Assign to' group that you do not want the 'Locked day' to apply to. For example, you might 'Assign to' 'All managers' but want to exclude the board members as they fall into the manager group, so you would list their names or whole department in the 'Exclude people' to make them exempt.
d. View filtered results - Click this to preview the list of employee names that the filters are capturing to ensure this is the right list of people to apply the 'Locked day' to before proceeding.
Step 5 - Populate the second half of the form as normal when booking an event with your date/time ranges. Once all of the form is populated as required, click 'Add' to proceed with the booking.
Step 6 - Once you click 'Add', you will see the following message appear before you confirm, click 'Book' to finalise and proceed to add to employee calendars.
