How to setup paid Sickness in Sense HR

This article will guide you on setting up new paid sickness reason for the sickness event

To create a sickness event in your system that shows as ‘Paid’ sick, follow these steps.

Step 1 – Go to settings.



Step 2 – Go to ‘Calendar & Planner’



Step 3 – In calendar and planner settings, select ‘Event Manager’ from the left hand menu.



Step 4 – Click on the event name ‘Sickness’.



Step 5 – Click ‘+ Add a sickness reason’.



Step 6 – Type the reason you want to add, name it something to the effect of ‘Paid Sickness’ (or something similar of your choosing) and click the tick icon to add it to the list and click ‘Save’ to save and exit.



Step 7 – Once you have saved the updated list, you will be prompted to exit entirely, or proceed to manage the sickness rules. It is recommended to go into the rules, then you can update the background options for this new event.



Step 8 – There should at the least, be a default rule in your system that comes as standard called ‘Everyone’. Click the edit icon next to this rule to manage it.

This rule decides who the sickness event is available to across the company, as well as the background items such as pay status, absence scheme and fit note requirements.

If you have multiple rules, you will want to check them all.



Step 9 – You can use the filters to include/exclude specific groups or individuals from having access to this event in the calendars. Click ‘Next’ once filtered appropriately.



Step 10 – Apply the settings to each reason. The settings are as follows;

  1. Fit note required – If enabled this will show in reports that this requires a fit note and therefore prompts HR to check one has been uploaded when checking the reports for sick absences.

  2. Return to work required – Ensures this sickness reason triggers the standard Sense HR return to work workflow.

  3. Paid - If enabled this will show in reports that this is a paid instance.

  4. Include in absence scheme – If enabled, this will count absences of these reasons towards the scale of Bradford score/days total/instances of sick in the employee planner as well as the alerts that are triggered from this.
